Operations Executive

We are currently looking for a full time Operations Exec to join our team who is highly motivated, self-starting and has an eye for detail.  Working closely with the management and operational team they will support the day to day running of business operations and the office environment.

Key Responsibilities

  • Perform data entry roles and create and maintain company information tracking processes,  including updating records and databases for HR, financial and legal information, working with Xero, Factorial and HubSpot platforms weekly to ensure data accuracy and validity.
  • Support finance manager in management of procurement platforms and supplier set up.
  • Processing accounts payable invoices and setting up a weekly pay run. 
  • Process staff expense forms,  collect company credit card receipts and enter into to accounting software.
  • Support sales and analyst teams in event coordination and administration including travel booking for UK and international colleagues.
  • Collate monthly staff newsletter.
  • Managing inventory of office supplies, including stationery, refreshments and  IT equipment to ensure smooth office operations.
  • POC for building management, access control and maintenance contracts.
  • Support staff onboarding and offboarding administration, communication and coordination with wider teams.
  • Coordinate office health and safety requirements, training,  risk assessments and fire safety.
  • Support HR & Operations Director in coordinating company wide training initiatives and in maintaining up to date and comprehensive company policies and staff handbook.
  • Develop operations team diary reminder system for reoccurring events and updates.
  • Managing company correspondence, including phone calls, info@ emails, letters and packages.
  • Work with the social committee to organize staff events and coordinate social budgets.
  • General administrative support to the company leadership.
  • IT equipment management and set up for new starters

Education/Background

  • Any previous admin experience / A level education

Skills & Experience

  1. Experience: Previous experience in an administrative role(s) with good IT proficiency in all Microsoft  Office 365 programmes. 
  2. Communication: We are looking for someone with strong communication skills both verbal and written. 
  3. Detail: Great attention to detail is essential, particularly with respect to data reviewing and input accuracy and excellent organisational skills.
  4. Flexible: We are looking for someone with the ability to multitask and learn new skills and processes, who are self starting and ready to adapt to take on different and varied challenges.  
  5. Lateral thinking: Being able to think outside the box and problem solve to help generate solutions and resolve internal and external enquiries.
  6. Discretion: The role will require the individual to have access to private company and personal information so the ability to be discreet and understand the importance of confidentiality is key.
