We are currently looking for a full-time Sales & Operations Exec to join our team who is highly motivated, self-starting and has an eye for detail.  Working closely with the sales, management, finance and operational teams they will support the day-to-day running of business operations and the office environment.  

The ideal candidate would have some administrative experience and interest in business ops, an eye for detail and proficiency in using Microsoft office software (any previous experience with CRM databases also an advantage). We are a small team in a fast-growing business and responsibility will develop quickly within the role so being self-starting, being organised and diligent are key!

Key Responsibilities

  • Create and maintain company information and tracking processes, including updating records and databases for sales and financial information, working with Xero and HubSpot platforms weekly to ensure data accuracy and validity.
  • Support finance manager with:
    • Management and set up of subscription accounts for analyst teams.
    • Processing accounts payable invoices and weekly bank reconciliations.
    • Process staff expense forms, collect company credit card receipts and enter into accounting software
  • Support sales team with:
    • Database management, data accuracy, client licensing setup and query resolution using Hubspot CRM and access control licensing systems.
    • Generate regular reports to identify errors and omissions in the databases.
  • Managing inventory of office supplies, including stationery, refreshments and IT equipment to ensure smooth office operations.
  • Be the point of contact for building management, access control and maintenance contracts.
  • Manage company correspondence, including phone calls, info@ emails, letters and packages.
  • Provide general administrative support to the company leadership.

Education/Background

  • Any previous admin experience / A level education

Skills & Experience

  1. Experience: Previous experience in an administrative role(s) with good IT proficiency in all Microsoft Office 365 programmes and the ability to learn new software with confidence. 
  2. Communication: We are looking for someone with strong communication skills both verbal and written. 
  3. Detail: Great attention to detail is essential, particularly with respect to data reviewing and input accuracy and excellent organisational skills.
  4. Flexible: We are looking for someone with the ability to multitask and learn new skills and processes, who is self-starting and ready to adapt to taking on different and varied challenges.  
  5. Lateral thinking: Being able to think outside the box and problem solve to help generate solutions and resolve internal and external enquiries.
  6. Discretion: The role will require the individual to have access to private company and personal information so the ability to be discreet and understand the importance of confidentiality is key.
  7. Teamwork: working in a small team it’s essential to be team orientated and enjoy a collaborative working environment.
